How to Archive Client Emails as PDF
By the Pick Ads team · Tested on Chrome · Published October 20, 2026 · Updated October 20, 2026
Answer: At the end of each project or month, search Gmail for the client's threads. Save each conversation as a PDF with Print all > Save as PDF, or select many threads and export them at once. Save attachments next to the PDFs, name files by date and client, and store the folder somewhere private and backed up.
Who this is for
Freelancers, consultants and agencies who agree scope, approvals and changes by email and want a readable record per client or project, outside the inbox.
Why archive
- Handovers: a new team member gets the project history in one folder.
- Disputes about scope: you can find "approved on 14 March" in seconds.
- Leaving a workspace: client emails in a work account may not stay accessible after a contract ends.
- Readable by anyone: a PDF opens without Gmail access.
Routine (steps)
1. Find the client's threads
Search for the client's domain and the project period, for example:
from:(@acme.example) OR to:(@acme.example) after:2026/01/01 before:2026/04/01
2a. Save as PDF, natively (a few threads)
- Open the conversation.
- Click Print all to include every message in the thread (Print Gmail messages).
- In Chrome's print dialog, choose Save as PDF and save.
2b. Save many threads at once (Attachly)
- Select the threads in the search results.
- Click Save PDF in the Attachly toolbar, then choose Save as PDF in Chrome's dialog.
- Or click Full pack for a dated ZIP with a folder per thread, holding an HTML copy of the email and its attachments.
Free allows 3 exports a day for each of Save PDF, Attachments and Full pack. Premium ($6.99/month or $69.99/year) removes the limits (per getpickads.com, 2026-10-20).
3. Save attachments
Use Attachments in Attachly to download them with original filenames, or download each one from the email. Keep them in the same folder as the thread's PDF.
4. Store and back up
Move the folder to private storage you back up. Delete stray copies from the downloads folder, especially on shared computers.
For single emails, see save Gmail as PDF. For printing batches, see print several Gmail emails.
Naming and folders
| Level | Pattern | Example |
|---|---|---|
| Client | Clients/<client> | Clients/acme |
| Project or year | <yyyy>_<project> | 2026_website-redesign |
| Thread PDF | <yyyy-mm-dd>_<client>_<topic>.pdf | 2026-03-14_acme_scope-approval.pdf |
| Attachments | <yyyy-mm-dd>_<original-name> | 2026-03-14_SOW-v3.pdf |
Use the date of the last message in the thread, so a re-export doesn't create a confusing older name. Keep names ASCII, with hyphens rather than spaces, so they survive ZIP tools and cloud sync.
What PDFs do and don't preserve
| Preserved in a PDF | Not preserved |
|---|---|
| The visible text of each message in the conversation (Print all) | Full technical headers (routing, authentication) |
| Visible sender and date details | Attachment files themselves; save them separately |
| Inline images, as rendered | Gmail labels, stars and read status |
| Links' live targets, which may change or expire |
Need the full header? Open the email and click More next to Reply, then Show original. Copy the header and save it as a text file next to the PDF (Trace an email with its full header).
Can't print? If the client sent the email in confidential mode, Gmail blocks printing and downloading of the message and its attachments.
Privacy
Client emails contain personal and commercial data. Attachly processes email content locally in your browser and saves files to your computer. If you connect Google Drive on Premium, files go directly to your own Drive. See the Attachly privacy policy. After that, the archive's security is up to you: encrypt the drive or folder, limit who has access, and follow any confidentiality terms in your client contracts.
Reliability tips
- Archive on a schedule: monthly, or at each project milestone.
- Re-export the whole thread rather than appending. Print all always includes the full conversation.
- Spot-check one PDF per export for cut-off content or missing images.
- Keep the Gmail label; the inbox remains your searchable source.
When another approach is better
- You need everything, not selected threads: use Google Takeout for a full mailbox export. See Save Gmail as PDF vs Google Takeout.
- Your team already uses a CRM or project tool that stores email: archive there.
- A legal hold or e-discovery request: ask your lawyer or IT team. Formal holds usually need tools that preserve original messages and metadata.

FAQ
Do PDFs include headers?
Are attachments included? Not inside the PDF itself. Save attachments separately: download them from each email, or use Attachly's Attachments button to download files from selected threads with original names. Full pack puts each thread's email copy and attachments together in one folder inside a dated ZIP.
Is a PDF legal evidence? We can't answer that. It depends on the jurisdiction, the dispute and how the record was kept, and this page is not legal advice. Keeping the original emails in Gmail, plus the full header, alongside the PDF gives you more to work with. Ask a lawyer if a dispute is likely.
