How to Export Gmail Receipts and Invoices for Tax Time
By the Pick Ads team · Tested on Chrome · Published October 20, 2026 · Updated October 20, 2026
Answer: Search Gmail for receipts and invoices by sender, keyword, file type and date range. Then save the matching emails as PDFs and download their attachments, or export everything as a ZIP. Name files by date and vendor, and hand one folder to your accountant. Check your tax authority's rules on what records to keep.
Not tax advice. This page explains how to collect emails and files. It doesn't say which records you need, whether emailed receipts are acceptable, or how long to keep them. Those rules differ by country and situation. Use the official pages below, or ask a qualified tax professional.
Who this is for
Freelancers, sole traders, small businesses and households whose receipts and invoices arrive by email and need to reach a bookkeeper or accountant once a year or once a quarter.
Find receipts (search recipes)
Paste these into the Gmail search box and replace the dates and senders with your own. Use YYYY/MM/DD dates.
| Goal | Query |
|---|---|
| Purchase emails in a tax year | category:purchases after:2025/07/01 before:2026/07/01 |
| PDF invoices and receipts | filename:pdf (invoice OR receipt) after:2026/01/01 before:2027/01/01 |
| One vendor | from:billing@example.com after:2026/01/01 before:2027/01/01 |
| Receipts without attachments, with the receipt in the email body | (receipt OR "order confirmation") -has:attachment after:2026/01/01 |
| Subscriptions | (subscription OR renewal) (receipt OR invoice) after:2026/01/01 |
| Include archived, Spam and Trash | add in:anywhere |
category:purchases only works if you use Gmail's inbox categories. Operators are documented in Refine searches in Gmail. For more recipes, see Gmail search operators for attachments.
Tip: once a search works, label the results (for example Tax/2026) so next year's export is a single label: search.

Naming convention
| Part | Example | Why |

Hand-off checklist for an accountant
- One folder per tax year, zipped.
- Files named with the convention above.
- A short index (spreadsheet): date, vendor, amount, currency, file name.
- Refunds and credit notes kept next to the original invoice.
- A note of the searches you used, so gaps can be checked.
- Duplicates removed: the same invoice often arrives as both an email body and a PDF.
- Shared through a secure channel, not as a public link.
- Your own copy kept after hand-off.

Privacy
Receipts show addresses, card details and purchase history. Attachly processes email content and attachments locally in your browser. Exported files then sit in your downloads folder, so move them somewhere private and delete stray copies on shared computers. See the Attachly privacy policy.
Reliability tips
- Export quarterly, not once a year, to avoid hitting daily limits and missing receipts.
- Re-run searches with
in:anywherebefore you finish. - Keep the Gmail label even after exporting, so you can re-export later.
When another approach is better
- Your bookkeeping software imports email receipts: forward them there instead.
- You need every email for the year: Google Takeout exports the whole mailbox. See Save Gmail as PDF vs Google Takeout.

FAQ
Are emailed receipts acceptable records? That depends on your tax authority and situation. We don't give a rule here. Check the official pages: IRS Recordkeeping (US), Business records if you're self-employed (UK), Keeping records (CRA) or Records you need to keep (ATO). Your accountant can confirm what they need from you.
How long to keep them? Retention periods vary by country and situation, so please use the official pages: IRS "How long should I keep records?", GOV.UK "Keeping your pay and tax records", CRA "Keeping records" and ATO "Records you need to keep". Each explains the rules that apply where you file.
Can I include attachments? Yes. Download them one by one from each email, or select the emails and use Attachly's Attachments button to download them with original filenames. Full pack puts each thread's email copy and attachments together in a dated ZIP. Keep the original PDF invoice when there is one.
